Student Employment Hiring Process

The process is slightly different if you know the student you want to hire.  Please select the appropriate option below for details:

Articulation Agreements

  1. Sign in to Interview Exchange
  2. Select “Requisitions”
  3. Select “Add New Requisition”
  4. Select “Student Employment Request” from the drop-down list
  5. Complete all required fields and add approver's name for Hiring Manager and Department Head. Be sure to list the full name(s) and 800# of the student(s) you intend to hire.
  6. “Approve” the request to forward for review and approval by the Department Head.
  7. Department Head will review the request created by the Hiring Manager to help ensure completeness and accuracy, as well as that the correct student(s) are hired at the correct pay rate and funding in the account listed. “Approve” will send the request to the next level. “Deny”* will terminate the request.
  8. The “approved” request will be forwarded to the Budget Office, where it will be reviewed to ensure alignment with the campus budget, as well as to approve the account number listed to be used to pay the student(s). “Approve” will send the request to the next level. “Deny”* will terminate the request.
  9. The “approved” request will be forwarded to the Director of Financial Aid, who will review the request to determine if the student is work-study eligible, and, if so, update the account number accordingly.
  10. Requests will move to the Office of Human Resources (OHR) for payroll processing. If employment paperwork is missing or incomplete, the department will be contacted and instructed to send the hired student(s) to OHR to provide information so that they can be paid once work commences. (Note: any missing documents will delay the student(s) start date and payroll processing.)

*NOTE: A “Denied” request at any step in the process terminates/stops the process completely. If the originator wishes to resubmit the request, the original request may be “Cloned” and modified as necessary, OR a brand new request may be created and submitted.

  • Reminder: students must be in "good academic standing" and cannot work more than 20 hours per week during the academic year

  6. “Approve” the request to forward for review and approval by the Department Head.
  7. Department Head will review the request created by the Hiring Manager to help ensure completeness and accuracy. “Approve” will send the request to the next level. “Deny”* will terminate the request.
  8. The “approved” request will be forwarded to the Budget Office, where it will be reviewed to ensure alignment with the campus budget, as well as to approve the account number listed to be used to pay the student(s). “Approve” will send the request to the next level. “Deny”* will terminate the request.
  9. The “approved” request will be forwarded to the Office of Human Resources (OHR), where the job description will be reviewed and a job will be posted to the website.
  10. OHR will forward the request back to the Hiring Manager, where the request will stay until the following steps are completed by the hiring department:
       * Interviews are conducted.
       * Hiring decisions are made.
       * All applicants are notified of the results.
       * It is suggested that unsuccessful applicants are sent an email from the available templates on IE.
    Only after all these tasks are completed, proceed to step 11.
  11. Return to the “Student Employment Request” (#4 above) and list the full name and 800# of the student(s) you intend to hire. To avoid processing delays, be sure all required fields are completed.
  12. “Approve” the request to forward for review and approval by the Department Head.
  13. Department Head will review the updated request in Interview Exchange to ensure that the correct students are hired at the correct pay rate and funding is available in the account listed. “Approve” will send the request to the next level. “Deny”* will terminate the request.
  14. The “approved” request will be forwarded to the Director of Financial Aid, who will review the request to determine if the student is work-study eligible, and, if so, update the account number accordingly.
